What Should an Invoice Include?

A professional invoice needs specific elements to be legally valid, ensure prompt payment, and maintain clear records. Whether you're a freelancer sending your first invoice or a business processing hundreds per month, these are the essential components every invoice should contain:

Your business details — company name, address, phone, email, and tax ID
Client details — name, company, address, and email
Unique invoice number — sequential for record-keeping (e.g., INV-001)
Issue and due dates — when the invoice was issued and when payment is due

Totals — subtotal, tax amount, any discounts, and the total amount due
Payment terms — Net 30, due on receipt, or custom terms

Can I include tax on my invoices?
Yes. Enter your tax rate as a percentage and the tax amount is calculated automatically. The tax line appears on both the preview and the downloaded PDF. You can label it as VAT, GST, Sales Tax, or any other tax type in the notes.
How do I add a discount?
Enter a discount amount in the Discount field. The discount is subtracted from the subtotal before calculating the total. The discount line will appear on the PDF.
Can I add bank details or payment instructions?
Yes. Expand the "Bank / Payment Details" section to add your bank name, account number or IBAN, and custom payment instructions. These appear in the footer of your invoice.
Is my data secure?
Your invoice data is only used to generate the PDF and is not stored permanently. The email you provide is saved so we can send you product updates, but your invoice details are not retained after download.
What is the difference between an invoice and a receipt?
An invoice is a request for payment sent before or at the time of delivery. A receipt is confirmation that payment has been received. You can create both using our generator — just select the document type.
What should an invoice include?
A professional invoice should include: your business name and contact details, the client name and address, a unique invoice number, issue and due dates, a detailed list of items or services with quantities and rates, subtotal, tax, any discounts, the total amount due, payment terms, and optionally your logo and bank details.
How do invoice numbers work?
Invoice numbers should be unique and sequential. Common formats include INV-001, INV-2024-001, or custom prefixes. Our generator suggests a prefix based on the document type (INV for invoices, QTE for quotes, etc.) but you can use any format.
